For Multi-Practitioner Teams

Built for the way your clinic actually runs.

Shared templates your team uses every day. Central supervision logged once, reported anywhere. Role-based access for managers and IT. One login for the clinic — profession-tuned for every practitioner.

Who It's For

Multi-practitioner clinics, group practices, and multidisciplinary teams across Australia. If two or more clinicians share a roof, share an admin, or share a compliance burden — this is for you.

Psychology Group Practices

Clinics with two or more psychologists, registrars, or provisional psychologists who need consistent documentation and central supervision.

Allied Health Clinics

Single or combined-discipline allied health teams — physio, OT, speech, dietetics, exercise physiology — sharing documentation standards under one roof.

Multidisciplinary Clinics

Combined teams of psychology, allied health, and medical practitioners. Each practitioner gets profession-tuned defaults inside a single shared clinic account.

Counselling & Therapy Practices

Counsellors and psychotherapists sharing documentation standards, peer supervision, and group programs across a multi-practitioner practice.

One Platform for the Whole Team

Everything a multi-practitioner clinic needs to document consistently, supervise centrally, and stay audit-ready — without bolting together a dozen tools.

Shared Template Library

Approve templates at the clinic level so every practitioner can pick from a shared, vetted library. New hires onboard with the same documentation standard the rest of the clinic uses.

Org-Level Supervision

Track every practitioner’s supervision hours, sessions, and competencies in one place. Export progress reports per-supervisee for registration boards.

Privacy-Act-Aligned Audit Trail

Every access to a client record, session, or assessment is logged with timestamp, user, and action. Built around the Australian Privacy Principles so governance, audits, and access reviews are straightforward.

Role-Based Administration

Practitioner, Line Manager, IT Manager, and IT Technician roles separate clinical work from administration and tech access. The right people see the right things.

Profession-Tuned AI

Each practitioner’s profession drives note generation, terminology, and template defaults. Psychology, OT, speech, dietetics, GP — all in one clinic, each tuned correctly.

Central Team Admin

Manage practitioners, roles, template approvals, and supervision relationships from your clinic settings. Each practitioner has their own subscription — and team billing mode is available if the clinic wants to consolidate payment.

Team Communication

Built-in team chat for clinics with multiple practitioners. Coordinate handovers, case discussions, and admin without leaving the platform.

Group Programs

Run group therapy and psychoeducation programs with shared client lists, session notes, and attendance tracking. Designed for clinic-scale delivery.

From One Practitioner to a Whole Clinic

Three steps from “we have a documentation problem” to “documentation is sorted, supervision is sorted, compliance is sorted”.

01

Onboard your team

Add practitioners, assign roles (clinical, line manager, IT), and set per-profession defaults. Each member gets their own secure login under your clinic account.

02

Share your templates

Build a clinic library of approved templates. Every practitioner uses them by default — your documentation standard, enforced gently, with room for personal variants.

03

Document and supervise

Sessions, supervision logs, audit trails — all in one platform. Reports export per-practitioner or whole-clinic at any time. Compliance becomes less of a chore because the records you need are already there.

Frequently Asked Questions

How clinics actually use Grounded Scribe day-to-day — pricing, templates, supervision, roles, AI tuning, and compliance.

How does pricing work for multi-practitioner clinics?
Each practitioner subscribes to the plan that fits their workload. Team-billing mode is available so the clinic owner can consolidate payment, but each practitioner still picks their own tier. Templates, supervision, audit trails, team chat, and group programs are shared across the clinic at no extra cost. See the pricing page for per-seat rates and educator/student discounts.
Can my whole team share the same note templates?
Templates are created by practitioners and can be approved at the clinic level. Once approved, they appear in the shared template library available to every practitioner. Practitioners can also create personal templates that stay private to them, so individual preferences and clinic-wide consistency coexist comfortably.
How is supervision tracked across the clinic?
Supervision relationships sit at the clinic level. Supervisors can log sessions, competency ratings, and hours for any supervisee on the team. Each supervisee’s Progress Report PDF can be exported for registration board submission, and supervisors can pull a whole-of-clinic view of everyone they oversee.
What roles can I assign to staff?
Four roles: Practitioner (clinical staff who document and see clients), Line Manager (oversees the clinical team without direct clinical access), IT Manager (system administration including user provisioning), and IT Technician (limited technical access for setup tasks). Role-based access enforces who sees and does what.
Can different practitioners use different note styles?
Yes. Each practitioner has their profession set (psychologist, OT, speech path, GP, dietitian, etc.) and the AI tunes its note generation accordingly. Your clinic can enforce specific shared templates while still letting profession-specific variation come through underneath — essential for multidisciplinary teams.
How does compliance and audit work?
Every access to a client record, session, or assessment is logged with the user, timestamp, and action taken. Clinic administrators can review the audit trail at any time. Data is stored in Australia, encrypted at rest and in transit. Audio recordings are auto-deleted after transcription, with the retention window configurable by each practitioner (clinic-wide defaults are on the roadmap).
