Summary

Grounded Scribe now includes add-to-calendar buttons in appointment confirmation emails and the client portal. Clients can add their appointment to Google Calendar, Outlook (web), or download an .ics file for Apple Calendar and other calendar apps — with one click. If the appointment includes a video meeting link, it is embedded in the calendar event automatically. No setup required on the practitioner side.

Missed appointments cost practices time and revenue. While automated SMS and email reminders help, one of the most effective ways to reduce no-shows is making sure the appointment is in the client's personal calendar in the first place.

The problem is that clients rarely copy appointment details into their calendar manually. They read the confirmation email, think "I'll remember", and then do not. By the time the reminder arrives the day before, they have already double-booked themselves.

Add-to-calendar buttons solve this by making it effortless. One click and the appointment — with the correct date, time, location, and video meeting link — appears in the client's own calendar.

How It Works

In Confirmation Emails

When a client receives an appointment confirmation email (whether booked by a practitioner, the AI receptionist, or the client themselves via booking links), the email now includes three add-to-calendar buttons:

  • Google Calendar — opens Google Calendar with the appointment pre-filled. One click to save
  • Outlook — opens Outlook Web with the appointment details ready to add
  • .ics Download — downloads a standard .ics calendar file that works with Apple Calendar, Outlook desktop, Samsung Calendar, and any other app that supports the iCalendar format

The buttons appear below the appointment details in the confirmation email — date, time, practitioner name, location or video meeting link.

In the Client Portal

If your practice uses the client portal, clients also see the add-to-calendar buttons when viewing their upcoming appointments. This is useful for clients who deleted the confirmation email but want to add a future appointment to their calendar.

If the appointment has a video meeting link (Zoom, Microsoft Teams, or Google Meet), it is automatically embedded in the calendar event. When the appointment time arrives, the client can join the video meeting directly from their calendar — no need to search for the confirmation email or find the link elsewhere.

The calendar event includes:

  • Appointment title — "Appointment with [Practitioner Name]"
  • Date and time — in the client's local timezone
  • Location or video link — the practice address for in-person, or the video meeting URL for telehealth
  • Notes — any additional information the practitioner included in the booking

No Setup Required

Add-to-calendar buttons work automatically. There is no configuration, no integration to connect, and no settings to adjust. If your practice sends confirmation emails (which is the default behaviour), the buttons are included.

This is intentional. We wanted this feature to work out of the box for every practice without adding another item to the setup checklist.

Why It Matters

A study published in the *Journal of General Internal Medicine* found that no-show rates in healthcare range from 12% to 80% depending on the setting, with most primary care practices experiencing rates of 15–30%. Each missed appointment represents lost revenue and — more importantly — a disruption to the client's care plan.

Adding an appointment to a personal calendar is one of the simplest interventions to reduce no-shows. It puts the appointment alongside the client's other commitments, triggers the calendar app's built-in reminders, and makes rescheduling conflicts visible before they become no-shows.

Combined with Grounded Scribe's existing automated SMS and email reminders, calendar links create multiple touchpoints that keep the appointment top of mind.

The .ics format is an open standard (RFC 5545), so the downloaded file works with virtually any calendar application.

For Practitioners

From the practitioner's perspective, nothing changes in your workflow. You book appointments the same way you always have. The add-to-calendar buttons appear automatically in the confirmation emails your clients receive.
