Group practices, clinics, universities, and training institutes have been asking us the same question: *"What does Grounded Scribe cost for a whole team?"* Until now, the answer was "contact us." Today we're publishing it.
The model: one platform fee, seats priced by workload
Organisation pricing has three parts:

| Pro seat — full-time professionals | $69/seat/month | 120 sessions/month, unlimited healthcare-grade dictations, speaker identification, full template library |
| Core seat — part-time professionals | $39/seat/month | 60 sessions/month — otherwise identical to a Pro seat |
| Plus seat — trainees | $19/seat/month | 30 sessions/month and unlimited dictations, with supervisor note approval, approved templates and assessments |
These are the same Pro, Core, and Plus plans from our individual pricing — organisations just assign them by workload. The key idea: seats are priced by how much each person works, not by their job title. A clinician who sees clients two days a week shouldn't pay the same as one with a full-time caseload — so they don't.
Supervision is a role, not a seat
Many platforms charge extra for "supervisor licences." We don't.
Any full-time or part-time professional seat can supervise trainees. Oversight dashboards, note review and approval workflows, competency tracking, and supervision reporting are all included. Whether your senior clinician supervises two provisional psychologists or none, their seat costs the same.
This matters most for training providers, where the same staff member is often a practising clinician *and* a supervisor. One seat, both hats.
Speaker identification on every professional seat
Speaker identification — knowing who said what in a recorded session — is included on every Pro and Core professional seat, part-time and full-time alike.
For training environments this matters: supervision review, session analysis, and teaching all depend on being able to distinguish the practitioner from the client in a transcript.
Volume discounts on all seats
Discounts apply to your total seat count — full-time, part-time, and trainee seats combined:
- 5–9 seats: 10% off all seats
- 10–19 seats: 15% off all seats
- 20+ seats: 20% off all seats
Annual billing saves a further 10%. The platform fee is never discounted — and never increases with team size.
A worked example
A training clinic with 6 full-time clinicians, 4 part-time clinicians, and 8 provisional psychologists has 18 seats, qualifying for 15% off:
- Platform: $99
- Pro seats (full-time): 6 × $58.65 = $351.90
- Core seats (part-time): 4 × $33.15 = $132.60
- Plus seats (trainees): 8 × $16.15 = $129.20
Total: about $713/month ex GST — for a full clinical documentation, supervision, and reporting platform across 18 staff.
